What a great agency CV template includes

Whether you build it yourself or let us build it, a recruitment CV template should cover these essentials.

  • Clear agency branding

Logo, colours and fonts that make it obvious who introduced the candidate, without overpowering the CV.

  • Consultant contact block

The recruiter's name, email and phone number on every page, so clients contact you, not the candidate.

  • Candidate summary

A short profile or recruiter-notes section at the top explaining why this candidate fits the role.

    AI CV summaries
  • Consistent work history

The same order, date format and job-title style for every role, so clients can compare candidates side by side.

  • Confidentiality options

Personal details removed and employer names hidden or replaced when the search is confidential.

    CV anonymisation
  • Footer and disclaimer

Your terms, data-protection notice or fee disclaimer on every CV that leaves the agency.

Why recruitment agencies use their own CV template

Candidates send CVs in every style imaginable. Sending them to clients as they arrive makes your shortlist look inconsistent and hard to compare, and gives the client every reason to contact the candidate directly. A recruitment CV template puts every candidate into the same professional, branded format, reinforces your agency's brand, and keeps your consultant as the point of contact.

The problem is applying it. Copying a candidate's CV into a Word template by hand takes 10 to 45 minutes per CV, and the result depends on who did the formatting. That's why agencies are moving from static Word templates to templates that are applied automatically.

Why not just download a free CV template?

Free downloadable templates are a reasonable starting point, but they are designed for candidates, not agencies. They don't carry your branding, consultant details or disclaimers, and someone still has to paste every CV into them by hand.

With CVFormatter we build the template from your own design, customised in great detail, and it is applied automatically to every CV your team uploads. You can keep several templates, for example one per client or market, plus anonymised versions for confidential work.

Agency CV template checklist

  • Page one does the selling: name, target role, a short summary and your consultant's contact details.
  • One date format: pick one (for example “Jan 2022 – Present”) and use it everywhere.
  • Reverse-chronological work history: most recent role first, with consistent job titles and company lines.
  • Readable fonts and white space: clients skim; give them room.
  • Word and PDF versions: Word for edits and ATS uploads, PDF for the final client pack.
  • A footer that protects you: agency name, fee or terms reminder, and a data-protection notice.

Customer story

How NAHC.io replaced part-time CV formatting with formatted CVs in under a minute

“The platform is exceptionally user-friendly, with responsive support from the team.”
Lawrence C.Co-Founder & CEO, NAHC.io (staffing and recruiting)Verified G2 review, July 2025

A template only works if every CV actually ends up in it. Here is how one staffing agency made consistent CVs automatic.

The challenge

NAHC.io relied on part-time staff to format candidate CVs as demand rose and fell. Consultants waited hours for formatted documents, and every CV had to be brought into the same format by hand before it could go to a client.

What changed

The team moved CV formatting onto CVFormatter, which now standardises every candidate CV to a consistent format before it is shared with clients. In Lawrence's words, the problem it solves is “standardizing candidates' CVs to a consistent format before sharing them with our clients.”

The result

Formatted CVs now come back in under a minute instead of after hours of waiting, the team has saved many hours of paperwork, and Lawrence titled his G2 review “Significantly saves our time at a fraction of the original cost.”
